This Privacy Policy explains how Ars Calami collects, uses, discloses, retains, and protects personal information and submitted content when you use arscalami.com and related writing, critique, reputation, credit, publisher-readiness, and workflow services.

This Policy applies to writers, reviewers, account holders, publisher-facing users, and visitors. If another notice appears in a specific workflow, that notice controls for that workflow.

Account information: email address, display name or pen name, authentication identifiers, verification status, genre preferences, tier, subscription status, credits, strikes, account status, and policy acceptance records.

Writing and project information: stories, manuscripts, chapters, excerpts, context, intent statements, critique questions, notes, scratchpad entries, dictionary entries, version history, manuscript seals, exports, content hashes, provenance records, and related metadata.

Critique and reputation information: assignments, submitted critiques, inline comments, ratings, tags, AI or automated scoring outputs, rank events, credit transactions, review deadlines, complaint records, and moderation decisions.

Billing information: selected plan, subscription metadata, payment confirmation metadata, transaction records, and limited payment details such as payment method last four digits when applicable. Full payment card processing is handled by payment providers when configured.

Technical information: device, browser, IP address, log data, cookies or similar technologies, security events, audit logs, error records, and usage signals needed to operate, secure, debug, and improve the reliability of the Service.

Information from service providers: authentication, payment, hosting, email, AI infrastructure, analytics, fraud-prevention, and support providers may send Ars Calami information needed to operate your account or the Service.

We use information to create and secure accounts, run onboarding, provide writing tools, store drafts, manage submissions, assign reviewers, deliver critiques, generate exports, operate credits and rank systems, process plans and billing, provide support, and communicate about the Service.

We use submitted content and metadata to operate critique workflows, plagiarism protections, provenance tools, audit trails, complaint handling, AI-misuse investigations, moderation, publisher-readiness features, and publisher-facing workflows you choose to use.

We use technical and usage information to secure the Service, prevent abuse, debug errors, maintain availability, measure feature performance, enforce policies, comply with law, and protect Ars Calami, users, and third parties.

We may use aggregated or de-identified information that does not identify a user or expose private submitted content for analytics, reliability, product planning, and reporting.

Ars Calami may use AI and automated systems for evaluatory and tool-based workflows, including moderation, safety checks, critique quality scoring, writing assessment, matching, summaries, revision insights, story structure analysis, contradiction detection, publisher-readiness workflows, provenance checks, and abuse prevention.

AI and automated systems may affect matching, review validity, reputation, credits, eligibility, moderation, visibility, publisher-readiness features, and similar workflow outcomes. Automated outputs can be wrong, incomplete, biased, or miscalibrated, and Ars Calami may review, override, correct, or decline to act on them.

Ars Calami does not use private manuscripts, chapters, excerpts, critiques, notes, prompts, context, intent statements, or other submitted content to train or fine-tune Ars Calami or third-party AI models unless you separately opt in through a clear written workflow.

AI infrastructure providers are authorized to process submitted content only to provide requested inference, safety, evaluation, routing, or tool functions for Ars Calami, or as required by law and provider security obligations.

To other users in the workflow: assigned reviewers may see submitted writing, selected context, questions, and relevant metadata; writers may see assigned critiques, ratings, summaries, and relevant reviewer workflow output. Ars Calami is pseudonymous by default, but not anonymous to Ars Calami.

To publishers or publisher-facing users: we disclose profile, readiness, manuscript, message, or submission information only through publisher workflows you enable, become eligible for, or choose to use.

To service providers: we disclose information to providers that support hosting, database storage, authentication, payments, email, analytics, AI processing, moderation, security, document export, logging, and customer support. They may process information only to provide services to Ars Calami, comply with law, protect safety and security, or enforce applicable terms.

For safety, legal, and enforcement reasons: we may disclose information to investigate abuse, plagiarism, AI misuse, fraud, security incidents, policy violations, billing disputes, legal claims, law enforcement requests, court orders, or threats to rights, safety, or the integrity of the Service.

For business transfers: information may be disclosed or transferred as part of a merger, acquisition, financing, restructuring, bankruptcy, sale of assets, or similar transaction, subject to this Policy or a replacement policy with notice where required.

We do not sell private submitted writing or personal information, and we do not share personal information for cross-context behavioral advertising unless a later notice and opt-in workflow expressly says otherwise.

We keep account, content, critique, billing, technical, and audit information for as long as needed to provide the Service, maintain your account, preserve version history, operate credits and reputation systems, handle disputes, enforce policies, comply with law, and protect safety and security.

If you delete content or close an account, Ars Calami may still retain hashes, logs, audit events, ratings, reviews, complaints, transactions, moderation records, backup copies, and legal records when needed for abuse prevention, plagiarism or AI-misuse investigations, billing, dispute resolution, legal compliance, and integrity of reputation or credit systems.

Retention periods vary by record type. We will delete or de-identify information when it is no longer reasonably needed unless retention is required or permitted by law.

Ars Calami and its providers may use cookies, local storage, session storage, pixels, SDKs, and similar technologies to keep you signed in, remember settings, secure sessions, prevent abuse, measure usage, debug errors, and operate the Service.

You can control cookies through your browser settings. Some Service features may not work correctly if necessary cookies or storage are disabled.

Ars Calami uses administrative, technical, and organizational safeguards designed to protect information, including access controls, audit logs, encrypted transport where available, provider security controls, and internal restrictions on production access.

No online service can guarantee perfect security. You are responsible for maintaining account security, using strong credentials, keeping authentication methods secure, and promptly reporting suspected account compromise.

You may update account profile information in the Service where available. You may request access, correction, deletion, export, restriction, objection, or withdrawal of consent where applicable law gives you those rights.

Some requests may be limited by legal, security, billing, fraud-prevention, dispute, backup, audit, plagiarism-protection, AI-misuse, reputation-integrity, or service-continuity needs. We may need to verify your identity before acting on a request.

If you are in a jurisdiction with specific privacy rights, including California, the United Kingdom, the European Economic Area, or another region with privacy laws, you may have additional rights under those laws. Ars Calami will honor legally required rights for users covered by those laws.

Ars Calami is not intended for users under 18 or under the age of legal majority where they live. Do not use the Service if you are not eligible.

Ars Calami and its providers may process and store information in the United States and other countries where we or our providers operate. Those countries may have privacy laws different from your country.

Where required, Ars Calami will use lawful transfer mechanisms or safeguards for international transfers.

The Service may integrate with or link to third-party services, including authentication, payment, AI infrastructure, hosting, analytics, email, document export, and publisher-related services. Their privacy practices are governed by their own policies.

Do not submit confidential, privileged, highly sensitive, or third-party private information unless you have the right to do so and accept the risks of using an online review and evaluation platform.

Ars Calami may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Service or another reasonable method where required. The updated Policy applies prospectively from its effective date unless the notice says otherwise.
